Executive Assistant - Marketing

The Marketing Executive Assistant performs a variety of duties and provides general administrative support to the Chief Marketing Officer, Director of Communications and other members of the marketing department. This will include support for marketing events. The position requires a high level of professionalism and the ability to multi-task, prioritize, and work independently. This position requires a candidate who will maintain information in strict confidentiality.
Essential Duties and Responsibilities:

• Organizes meetings, including coordinating videoconference and teleconference arrangements.
• Maintains calendars and contact lists.
• Makes travel arrangements and processes expense reports.
• Must maintain strict confidentiality of information in a professional manner.
• Provides administrative support with a focus on marketing and business development initiatives.
• Responds to callers promptly and efficiently, answers inquiries as appropriate or directs callers to correct person/department.
• Coordinates projects in a proactive manner, collaborating with the firm's administrative departments and external resources to complete tasks efficiently and effectively.
• Develops PowerPoint presentations.
• Handles correspondence with vendors and consultants.
• Compiles department reports.
• Maintains cooperative working relationships and ability to interact effectively and professionally with staff and attorneys.
• Prioritizes and manages multiple projects simultaneously and follows through on issues in a timely manner with minimal supervision; takes appropriate actions to ensure obligations are met.
• Serves as a contact point when CMO and Director of Communications are on travel or not available.
• Handles complex tasks such as reviewing information, assembling data and coordinating distribution.
• Must be able to carry out projects from start to finish with minimal supervision.
• Coordinate with other department members and other administrative departments, as appropriate, on projects to improve business development support of attorneys.

Knowledge, Skills and Abilities:

• Must be able to effectively multi-task and prioritize projects while meeting all appropriate deadlines, often with frequent interruptions; organizational skills and strong attention to detail is essential.
• Must work with a high level of accuracy and efficiency and remain calm under pressure.
• Demonstrates proficient computer skills using Microsoft Office, Excel and PowerPoint, as well as internet research skills.
• Must be expert in creating and editing PDF documents.
• Displays excellent grammar, punctuation and proofreading and strong verbal, written and interpersonal communication skills.
• Works effectively with diverse groups of people at various levels within the firm.
• Coordinate and work closely with marketing and other administrative departments as appropriate on projects.
• Demonstrates the ability to communicate ideas or positions in a professional manner promoting teamwork and a commitment to outstanding customer service.
• Ability to exercise good judgment and decision making and able to work independently.
• Display discretion in handling sensitive and confidential material and information.
• Demonstrates ability to keep current with new developments and readily adapts to change.
• Must be able to carry out projects from start to finish with minimal supervision and be able to take appropriate actions to ensure obligations are met.
• Must be flexible to work overtime as needed.

Education and/or Experience:

A Bachelor’s Degree from an accredited college or university preferred and a minimum of five years experience in an administrative position and/or significant, relevant work experience or an equivalent combination of training, education and experience that demonstrates the ability to perform the duties of the position.
